Annotated Formal Email

A strong formal email in Serbian lets the recipient identify the topic, request, documents, and next action at a glance. Courtesy comes from an appropriate salutation, consistent Ви, conditional softening, and a clear close—not from long ceremonial language. This original message models a participant asking an organizer to confirm seminar registration.

Text status: The names, seminar, and attachments are fictional. The email is an original teaching text, not a template copied from an institution.

The complete email

Предмет: Потврда пријаве за семинар

Subject: Confirmation of seminar registration

Поштована госпођо Ристић,

Dear Ms. Ristić,

обраћам Вам се поводом пријаве за семинар „Дигиталне збирке“, који ће бити одржан 18. новембра.

I am writing to you regarding my registration for the Digital Collections seminar, which will be held on November 18.

У прилогу Вам достављам попуњен пријавни образац и скенирану потврду о уплати котизације.

Attached, I am sending you the completed registration form and a scanned confirmation of payment of the registration fee.

Љубазно Вас молим да потврдите да ли је документација потпуна и да ли је моја пријава евидентирана.

Please confirm whether the documentation is complete and whether my registration has been recorded.

Такође, била бих Вам захвална ако бисте ми јавили да ли је могуће променити изабрану радионицу пре почетка семинара.

I would also be grateful if you could let me know whether it is possible to change the selected workshop before the seminar begins.

Уколико је потребно да доставим још неки документ, молим Вас да ме о томе обавестите.

If I need to submit any additional document, please let me know.

Хвала Вам унапред на одговору.

Thank you in advance for your reply.

Срдачан поздрав,

Kind regards,

Јелена Марковић

Jelena Marković

Because the salutation ends with a comma, the first body word обраћам begins with a lowercase letter under the traditional continuous-sentence convention. In modern email practice, a capital letter after a visually separate salutation is also widespread, but consistency within an organization's style matters. The rest of the message uses capital Вам/Вас as a courtesy to one named recipient.

Line-by-line annotation

PartGrammarEmail function
SubjectVerbal noun потврда takes genitive пријаве; за + accusative identifies the seminar.A searchable noun phrase states the requested outcome without writing a full sentence.
SalutationFeminine vocative госпођо follows adjective поштована. A consonant-final woman's surname remains Ристић.The recipient is addressed by title and surname, not by an invented level of familiarity.
OpeningОбраћати се некоме takes dative Вам; поводом takes genitive пријаве. Relative који refers to masculine семинар.The first sentence supplies reason, event, and date.
AttachmentsInitial у прилогу frames where the documents are. Accusative adjectives попуњен and скенирану agree with two different objects. The recipient can match the message against the files actually attached.
Primary requestМолити некога да... takes accusative Вас. Two embedded polar questions use да ли је; passive participles потпуна, евидентирана agree with feminine nouns. The central action is explicit: confirm completeness and recording.
Secondary requestFeminine conditional била бих agrees with Jelena. Polite conditional бисте belongs to the recipient; dative ми marks whom to inform.Такође adds a related but secondary question in its own paragraph.
ContingencyУколико introduces a formal condition. Perfective доставим names the possible completed submission. In ме о томе обавестите, accusative ме is the informed person. The writer makes it easy for the recipient to request missing material.
CloseХвала Вам на + locative gives на одговору. Срдачан поздрав is a conventional noun-phrase closing followed by the signature. The email closes courteously without repeating the entire request.

The subject line names the action

Потврда пријаве за семинар can mean either a confirmation document or the act/result being requested. The email body removes that ambiguity with молим да потврдите. A subject such as Питање is grammatical but too vague for retrieval.

Предмет: Допуна документације за конкурс

Subject: Additional documentation for the application

Предмет: Молба за промену термина разговора

Subject: Request to change the interview time

The genitive chains are compact but interpretable because each head noun selects the next phrase. Longer chains should be unpacked in the message body.

Salutation requires vocative

The greeting directly addresses the recipient, so the title changes case: госпођа → госпођо, господин → господине, професор → професоре. Some surnames also have vocative forms, but formal combinations vary with name shape and convention; a safe title-plus-surname formula preserves the surname where appropriate.

Поштовани господине Петровићу,

Dear Mr. Petrović,

Поштована професорка Илић,

Dear Professor Ilić,

The second uses професорка as a contemporary feminine professional title. Use the person's known title and preference; do not infer academic rank.

💡
Match the salutation to an identifiable recipient. Поштовани alone is useful for an unknown team or group, but title plus surname is clearer when one person is responsible.

Formal Ви must remain coherent

Capital Вам/Вас is a courtesy convention for one addressee in formal correspondence. Grammar still treats it as plural: бисте, потврдите, јавили, обавестите. The writer's gender appears separately in била бих.

Била бих Вам захвална ако бисте потврдили пријем поруке.

I would be grateful if you could confirm receipt of the message. (female writer, polite recipient)

Био бих Вам захвалан ако бисте ми послали исправљену верзију.

I would be grateful if you could send me the corrected version. (male writer, polite recipient)

The writer changes била/захвална to био/захвалан; the recipient forms Вам/бисте do not change with the writer.

Request softening does not hide the request

The email uses three levels:

  • Љубазно Вас молим да потврдите... — courteous and direct;
  • била бих Вам захвална ако бисте ми јавили... — more deferential secondary request;
  • молим Вас да ме обавестите — clear contingency instruction.

Молим Вас да ми до петка потврдите да ли сте примили оба прилога.

Please confirm by Friday whether you received both attachments.

The deadline makes the action usable. Excessive nesting—љубазно бих Вас замолила ако бисте могли...—can sound heavier without adding respect.

Attachments: name what the recipient should see

У прилогу Вам достављам... is formal/professional. Everyday professional email also uses шаљем. The participles agree with the documents:

У прилогу Вам шаљем потписан уговор и попуњене обрасце.

Attached, I am sending you the signed contract and the completed forms.

Masculine accusative потписан уговор contrasts with plural accusative попуњене обрасце. If a promised attachment is absent, polished grammar does not repair the practical failure—verify the files before sending.

Paragraph cohesion and information order

Each paragraph has one job: context, attachment/request, secondary question, contingency, thanks. Такође adds; уколико conditions; о томе resumes the need for another document. These links are more precise than repeatedly starting with и.

Најпре Вас молим да проверите основне податке. Затим ми јавите да ли је потребна и оверена копија.

First, please check the basic information. Then let me know whether a certified copy is also required.

Imperatives remain polite plural, while adverbs make the sequence explicit.

Register and closing

Срдачан поздрав is neutral-professional and warmer than bare Поздрав. С поштовањем is more formal and suits official or distant correspondence. Avoid stacking both closings in one email.

For a broader register comparison, see professional email. No archaic honorific is needed; clear contemporary Serbian is fully respectful.

Reuse the email

Task 1: Change the purpose

Write to request a new interview time. Create a specific subject, a reason paragraph, one conditional request, and a confirmation question.

Task 2: Change writer gender

Rewrite the secondary request for a male writer, changing every writer-controlled participle and adjective while keeping recipient Ви forms unchanged.

Task 3: Audit the attachments

Name three attached files with one masculine singular, one feminine singular, and one plural noun. Make each participial adjective agree in accusative.

Common Mistakes

Leaving the title in nominative

❌ Поштована госпођа Ристић,

Incorrect in direct address—the title must be vocative госпођо.

✅ Поштована госпођо Николић,

Dear Ms. Nikolić,

Mixing familiar and formal address

❌ Молим Вас да ми јавиш да ли је пријава примљена.

Incorrect—Вас is polite, but јавиш is familiar singular.

✅ Молим Вас да ми јавите да ли је пријава примљена.

Please let me know whether the registration was received.

Mismatching attachment agreement

❌ У прилогу шаљем попуњена образац и потписану изјаву.

Incorrect—masculine образац requires попуњен.

✅ У прилогу шаљем попуњен образац и потписану изјаву.

Attached, I am sending the completed form and signed statement.

Using a late dative clitic

❌ Можете ли послати потврду ми до сутра?

Incorrect—unstressed ми belongs in the early clitic position.

✅ Можете ли ми послати потврду до сутра у подне?

Could you send me the confirmation by noon tomorrow?

Key Takeaways

  • Make the subject line specific and state the request in the first paragraph.
  • Use vocative in the salutation and consistent polite plural grammar throughout.
  • Name and grammatically agree every attachment.
  • Let each paragraph do one job, linked by precise connectors and a clear next action.
