A good Serbian professional email is easy to act on. Its usual architecture is specific subject line → appropriate salutation → purpose → requested action and deadline → attachment note → closing and signature. Politeness comes from accurate address and proportionate softening, not from copying English formulas or piling up abstract bureaucratic nouns.
Professional style ranges from a first message to an official institution to a quick note between established colleagues. The relationship determines how much ceremony is useful.
The underlying choices are developed on the pages about address and titles, polite requests, and script choice. Here they are assembled into a complete message.
Subject Lines Carry the Task
A subject line normally names the document, action, meeting, or deadline. It does not need a greeting or a full sentence.
| Weak subject | Actionable subject | Why |
|---|---|---|
| Потврда термина до 12 часова | states the action and real deadline |
октобра | identifies version and context |
Subject: Additional documentation for call 27/2026. (formal and searchable)
In internal mail, Записник са састанка — коментари до петка efficiently combines document and action. Exclamation marks and unexplained хитно create pressure without telling the recipient what is needed.
Salutations Require the Vocative
Use Поштовани/Поштована with a title or name in formal first contact. Titles used in direct address take the vocative; surnames in -ић remain unchanged for women.
Dear Ms. Lukić, I am writing regarding the application sent on October 6. (formal first contact)
Hello, Milan, I'm sending you the notes from this morning's meeting. (professionally informal between established colleagues)
Драги/Драга is warmer and can be professional among known colleagues, but it is not the safest opening to an unknown official. Поштовани by itself is widespread when the addressee's name is unknown, though Поштовани чланови комисије or Поштовани тиме за подршку is often more informative.
Formal Vi: Capitalization and Agreement
When writing to one respected person, Ви, Вас, Вам, Ваш may be capitalized. Lowercase forms are also common in modern professional mail. What matters is consistency. A real plural is lowercase.
Respectful singular takes plural verb forms and conventional masculine-plural predicate agreement, regardless of the addressee's gender.
Ms. Savić, were you able to review the corrected version? (formal address to one woman)
Dear colleagues, were you able to review the minutes? (address to a real all-female group)
The contrast between били and биле distinguishes polite singular convention from ordinary plural gender agreement.
State the Purpose Before the Request
Readers act faster when they first know why the message exists. One concise opening sentence can supply the file, date, case number, or shared project.
I am writing about the contract we discussed at Monday's meeting. (neutral professional)
Then use one clear request. Молим Вас да + present is standard and direct. A conditional question is softer when refusal or negotiation is genuinely possible.
Please send the signed version by 3 p.m. on Thursday. (formal, clear deadline)
Could you suggest two times for a meeting next week? (formal, negotiable request)
Avoid stacking every softener: Љубазно Вас молимо да, уколико сте у могућности, евентуално... delays the action and may sound evasive. One polite frame plus precise content is usually more respectful.
Attachments: Name the File and Its Function
State what the recipient should do with the attachment.
I am attaching the draft report; please enter your comments in the document by October 18.
I am submitting the signed consent form and a copy of my identity document, as instructed. (formal/administrative)
A literal imitation of English please find attached often produces inflated Serbian. Молимо Вас да у прилогу пронађете... is understandable but bureaucratic; У прилогу Вам шаљемо... is clearer. If a file is missing, send a direct correction rather than pretending the earlier message did not exist.
I apologize; I did not attach the table in my previous message. I am attaching it now. (speaker is female)
Closings Match the Relationship
Common professional closings include С поштовањем (formal) and Срдачан поздрав (neutral professional/warm). Поздрав is concise and suitable in many established working relationships. Literal English Најбоље is not a standard equivalent of Best.
Thank you for your time. Kind regards, Jelena Marković. (neutral professional closing)
For a highly formal application, С поштовањем fits better than an affectionate ending. For a routine team thread, repeating Поштовани... С поштовањем in every two-line reply may be excessive. Register can relax as a relationship and thread become established, but pronoun choice should remain coherent.
Script Consistency
Cyrillic and Latin are both standard Serbian scripts. Official state correspondence often favors Cyrillic; companies and international teams may use either. Choose the script appropriate to the institution or recipient and keep Serbian running text consistent.
Poštovana gospođo Đorđević, u prilogu Vam šaljem završnu verziju tehničke specifikacije.
Dear Ms. Đorđević, I am sending you the final version of the technical specification as an attachment. (formal Serbian Latin)
This is fully standard Latin script: đ, ć, č, š, ž, dž, lj, nj must be preserved. Writing Postovana gospodjo Djordjevic is not an informal register; it is orthographically deficient. URLs, email addresses, product names, and exact quotations may retain their original script.
Two Register-Complete Models
First contact with an institution
Subject: Request for confirmation of receipt of documents — Dear Ms. Ilić, please confirm that the documentation for case 184/26 has been received. I am reattaching the list of documents sent. Yours sincerely, Nikola Radić. (formal)
The message uses a searchable subject, formal vocative, one explicit request, a case number, an attachment note, and a formal closing.
Established colleague
Subject: Comments on the presentation — Hi, Sonja, I've added suggestions to the final three slides. Take a look when you have time, and we'll talk tomorrow before the meeting. Regards, Luka. (professionally informal)
This version uses ти, a direct imperative, and shared context. It remains professional because the request is bounded and the file location is clear; informality is not carelessness.
Avoid Bureaucratic Fog
Nominalizations and passives are useful when a process or legal category is central. They become harmful when they hide who must act.
The forwarding of the documentation to the competent organizational unit has been carried out. (bureaucratic and agentless)
The procurement department forwarded the documentation to the legal department. (clear professional alternative)
The second version names actor, action, and recipient. Formality does not require English-style passive accumulation.
Common Mistakes
Incorrect agreement—the plural-address modal можете cannot govern singular-address пошаљеш for the same recipient.
Dear Ms. Pavlović, could you send me the decision?
Incorrect case in direct address—the title must be vocative
Dear Ms. Tomić, thank you for your reply.
Incorrect clause connection and register editing—two independent actions are run together, and the request needs a clearer boundary.
I am attaching the contract. Please sign it by Friday.
❌ Postovana gospodjo Djordjevic, saljem Vam izvestaj.
Incorrect Serbian Latin spelling—missing diacritics and the required letter đ.
✅ Poštovana gospođo Đorđević, šaljem Vam izveštaj.
Dear Ms. Đorđević, I am sending you the report. (standard Serbian Latin)
Practice
Task 1: repair an email
Supply a specific subject, identify the requested document, choose one formal request frame, give a real deadline, and use a natural Serbian closing.
Task 2: change the relationship
Transform the formal first-contact model above into a message to an established colleague. Change the salutation, pronouns, request syntax, and closing while preserving the case number and action.
Key Takeaways
- A professional email should expose its task in the subject line and first sentences.
- Salutations take the vocative; formal singular Ви requires plural verbal agreement.
- One clear polite request is better than multiple bureaucratic softeners.
- Name attachments and say what action or deadline applies to them.
- Use Cyrillic or correct Serbian Latin consistently, and prefer active clauses when the responsible actor matters.
