Why do we use está here instead of es?
In Spanish, there are two verbs for "to be": ser and estar. We use estar to talk about where someone or something is located. Since this sentence is about someone being physically located in the office, we must use a form of estar.
Why does usted use está? Isn't that the form for "he" or "she"?
Yes, está is used for "he" (él) and "she" (ella), but it is also used for the formal "you" (usted). Even though usted means "you", it always pairs with the exact same verb forms as "he" and "she".
