Formal written Hindi

Formal written Hindi is not everyday speech with a few “difficult” words added. It is a coordinated style for readers who are not sharing the immediate conversation: reference is made explicit, clauses are linked overtly, address is respectful or impersonal, and actions are often packaged as named processes. The best formal prose is precise and readable; maximum Sanskritization is neither required nor automatically elegant.

This page concerns letters, reports, public information, essays, and other edited prose. Administrative formulas, academic argument, and news conventions receive their own pages because each has a narrower communicative purpose.

What makes a sentence formally written

Several choices normally move together:

DimensionConversationFormal writing
referenceये, वो, यहाँ वालायह, वह, उक्त, संबंधित
addressतुम + familiar agreementआप + plural/honorific agreement, or no direct addressee
connectionतो, फिर, लेकिनइसलिए, इसके बाद, तथापि/परंतु where appropriate
actionदेखना, बताना, मदद करनाजाँच करना, सूचना देना, सहायता प्रदान करना
sentence designcontext-dependent short clausesexplicit participants, cause, time, and scope

बैठक कल नहीं होगी, बाद में नई तारीख़ बता देंगे।

baiṭhak kal nahīṃ hogī, bād meṃ naī tārīx batā deṅge.

The meeting won't happen tomorrow; we'll tell you the new date later. (informal conversation)

कल की बैठक स्थगित कर दी गई है। नई तारीख़ की सूचना बाद में दी जाएगी।

kal kī baiṭhak sthagit kar dī gaī hai. naī tārīx kī sūcnā bād meṃ dī jāegī.

Tomorrow's meeting has been postponed. The new date will be announced later. (neutral formal writing)

The written version replaces the unspecified conversational speaker with agentless passives, packages the new date as सूचना, and divides the notice into complete information units. A passive is useful because the event and its result matter more than the staff member who changed the calendar. That does not mean every formal sentence must be passive.

💡
Formality is distributed across the whole sentence. A single word such as सूचना cannot make intimate pronouns, missing context, or conversational fragments formally coherent.

One message in three styles

Compare three versions of the same message: a workshop cannot take place on Friday because the hall is unavailable, and registered participants will receive a new date.

हॉल खाली नहीं है, इसलिए शुक्रवार वाली वर्कशॉप नहीं हो पाएगी। जिन्होंने नाम लिखाया है, उन्हें नई तारीख़ भेज देंगे।

hol khālī nahīṃ hai, islie śukravār vālī varkśop nahīṃ ho pāegī. jinhoṃne nām likhāyā hai, unheṃ naī tārīx bhej deṅge.

The hall isn't available, so Friday's workshop can't happen. We'll send the new date to the people who signed up. (conversational)

सभागार उपलब्ध न होने के कारण शुक्रवार की कार्यशाला स्थगित कर दी गई है। पंजीकृत प्रतिभागियों को नई तारीख़ ईमेल से भेजी जाएगी।

sabhāgār upalabdh na hone ke kāraṇ śukravār kī kāryaśālā sthagit kar dī gaī hai. pañjīkrit pratibhāgiyoṃ ko naī tārīx īmel se bhejī jāegī.

Because the hall is unavailable, Friday's workshop has been postponed. Registered participants will be sent the new date by email. (neutral formal)

सभागार की अनुपलब्धता के दृष्टिगत शुक्रवार हेतु निर्धारित कार्यशाला का आयोजन स्थगित किया जाता है। संशोधित तिथि से पंजीकृत प्रतिभागियों को पृथक रूप से अवगत कराया जाएगा।

sabhāgār kī anupalabdhatā ke driṣṭigat śukravār hetu nirdhārit kāryaśālā kā āyojan sthagit kiyā jātā hai. saṃśodhit tithi se pañjīkrit pratibhāgiyoṃ ko prithak rūp se avgat karāyā jāegā.

In view of the unavailability of the hall, the workshop scheduled for Friday is hereby postponed. Registered participants will be informed separately of the revised date. (marked administrative formal)

In the conversational version, शुक्रवार वाली, English वर्कशॉप, and an unexpressed “we” are natural because speaker and listeners share the situation. The neutral written version uses के कारण, a full passive, and पंजीकृत प्रतिभागी, but keeps familiar ईमेल because it is the clearest domain word. The marked version adds nominalizations (अनुपलब्धता, आयोजन), हेतु, and the institutional present passive स्थगित किया जाता है. That last style belongs in an official order, not in an ordinary email to colleagues.

The marked version is not “purer” Hindi. English ईमेल, Sanskritic कार्यशाला, and Perso-Arabic तारीख़ can coexist naturally when each is established in its domain. On the Hindi–Urdu continuum, सूचना, ख़बर, इत्तिला, and English अपडेट carry different genre and identity associations; no single item is universally formal or universally casual.

Address and reader relationship

Direct formal communication normally uses आप and plural/honorific agreement. A notice often avoids a personal pronoun and names the role instead.

कृपया अपना आवेदन सोमवार तक भेज दें।

kripyā apnā āvedan somvār tak bhej deṃ.

Please send your application by Monday. (polite formal instruction)

आवेदक अपना आवेदन सोमवार तक जमा करें।

āvedak apnā āvedan somvār tak jamā kareṃ.

Applicants should submit their application by Monday. (formal notice)

आप is understood in the first. The second creates an institutional class, आवेदक, and uses the third-person/honorific subjunctive-imperative करें. Neither wording licenses familiar singular करो. For a named respected recipient, salutations such as आदरणीय महोदय/महोदया are conventional (formal), but many contemporary emails simply use नमस्कार plus a name.

Clause architecture and explicit links

Formal prose makes relations recoverable without gesture or shared timing. A cause may be marked with क्योंकि, चूँकि, के कारण, or के मद्देनज़र; a contrast with लेकिन, परंतु, तथापि, or जबकि. These differ in register and syntax.

चूँकि आवश्यक दस्तावेज़ प्राप्त नहीं हुए हैं, इसलिए आवेदन पर निर्णय नहीं लिया जा सका।

cū̃ki āvaśyak dastāvez prāpt nahīṃ hue haiṃ, islie āvedan par nirṇay nahīṃ liyā jā sakā.

Because the required documents have not been received, no decision could be made on the application. (formal)

रिपोर्ट संक्षिप्त है, तथापि उसमें सभी प्रमुख निष्कर्ष सम्मिलित हैं।

riporṭ saṅkṣipt hai, tathāpi usmeṃ sabhī pramukh niṣkarṣ sammilit haiṃ.

The report is concise; nevertheless, it includes all the main findings. (formal)

Longer does not mean better. A sentence should contain as many nominalizations and embedded clauses as the logical structure needs, not as many as it can hold. When the actor matters, active voice is often clearer:

समिति अगले सप्ताह प्रस्ताव की समीक्षा करेगी और अपनी सिफ़ारिश प्रकाशित करेगी।

samiti agle saptāh prastāv kī samīkṣā karegī aur apnī sifāriś prakāśit karegī.

The committee will review the proposal next week and publish its recommendation. (formal)

This active sentence is more informative than two passives because समिति is responsible for both actions. See formal nominal predicates for how समीक्षा करना and सिफ़ारिश करना package institutional events.

Coherent and incoherent mixing

Mixed vocabulary is natural when domain, audience, and sentence grammar support it. कृपया फ़ॉर्म ईमेल कर दें is a normal polite workplace instruction: Sanskritic कृपया, English loans, and an ordinary Hindi light verb serve one communicative setting. By contrast, intimate तू plus an official formula normally clashes unless the speaker is joking or deliberately imitating bureaucracy.

तुम चाहो तो रिपोर्ट आज ईमेल कर सकते हो।

tum cāho to riporṭ āj īmel kar sakte ho.

You can email the report today if you want. (friendly workplace speech)

आपसे अनुरोध है कि रिपोर्ट आज ईमेल कर दें।

āpse anurodh hai ki riporṭ āj īmel kar deṃ.

You are requested to email the report today. (formal workplace writing)

The English loan remains in both; pronoun, modal framing, and verb agreement change. Vocabulary origin alone does not determine register.

💡
Choose the least marked style that fully respects the reader and the genre. Neutral formal Hindi usually communicates better than heavily nominalized administrative prose.

Common Mistakes

1. Adding a formal noun to intimate grammar

❌ तू उक्त दस्तावेज़ तत्काल प्रेषित कर।

Grammatically possible only as a deliberate comic or hostile register clash; it is not a normal formal request.

✅ कृपया उक्त दस्तावेज़ तत्काल भेज दें।

kripyā ukt dastāvez tatkāl bhej deṃ.

Please send the aforementioned document immediately. (formal)

2. Replacing every simple verb with a nominalization

❌ समिति द्वारा प्रस्ताव के संबंध में विचार किए जाने की प्रक्रिया का संपादन किया गया।

Needlessly inflated and semantically awkward; formal prose still needs an identifiable action.

✅ समिति ने प्रस्ताव पर विचार किया।

samiti ne prastāv par vicār kiyā.

The committee considered the proposal. (clear formal prose)

3. Treating English loans as inherently informal

❌ औपचारिक हिंदी में ‘ईमेल’ नहीं लिख सकते।

Incorrect claim: established English loans are normal in many formal technical and workplace domains.

✅ आवेदन की प्रति ईमेल से भेजी जा सकती है।

āvedan kī prati īmel se bhejī jā saktī hai.

A copy of the application may be sent by email. (formal)

4. Using conversational context dependence in a standalone notice

❌ वो वाली बात के कारण इसे बाद में कर दिया है।

Too context-dependent for a standalone formal notice: the referents and responsible action are unclear.

✅ तकनीकी समस्या के कारण साक्षात्कार अगले सप्ताह के लिए स्थगित कर दिया गया है।

taknīkī samasyā ke kāraṇ sākṣātkār agle saptāh ke lie sthagit kar diyā gayā hai.

Because of a technical problem, the interview has been postponed until next week. (formal)

Key Takeaways

  • Formal writing coordinates explicit reference, respectful or impersonal address, overt logical links, and genre-appropriate predicates.
  • Neutral formal prose and marked administrative prose are not the same level of style.
  • Sanskritic, Perso-Arabic, and English resources can mix coherently; domain and audience matter more than ideas of purity.
  • Active voice and simple verbs remain formal when they state responsibility more clearly.
