Choose เป็น when the sentence characterizes a subject as a member of a class, holder of a role, or bearer of a conventional state. Choose คือ when it identifies or equates two descriptions, supplies an exact value or label, or introduces a definition. English be hides this difference because She is a manager and The manager is Mali use the same verb.
Neither Thai form conjugates, and neither is a universal equivalent of am/is/are. A property such as แพง “expensive” predicates directly; location uses อยู่; existence often uses มี. The complete positive accounts are on เป็น for class and role and คือ for identification and equation.

Step 1: Is the complement an ordinary property or a place?
If yes, choose neither. Thai property predicates stand on their own, while physical location takes อยู่.
ห้องรับรองนี้เงียบมากค่ะ

This reception room is very quiet. (ordinary polite report, female speaker; direct property predicate)
คุณมาลีอยู่ในห้องรับรองค่ะ
khun mali yu nai hong raprong kha
Khun Mali is in the reception room. (ordinary polite information, female speaker; location with อยู่)
English supplies is in both translations, but predicate type blocks both เป็น and คือ. Deictic words such as นี้ “this” help identify the room; they do not turn a property or location into a copular noun relation.
Step 2: Does the subject receive a profession, type, status, or assigned role?
Use เป็น + noun phrase. Thai does not insert an article equivalent to English a/an.
คุณมาลีเป็นผู้จัดการฝ่ายบริการค่ะ
khun mali pen phu chatkan fai borikan kha
Khun Mali is a customer-service manager. (ordinary polite characterization, female speaker; professional role)
สัปดาห์นี้ผมเป็นคนประสานงานครับ
sapda ni phom pen khon prasan ngan khrap
This week I'm the coordinator. (ordinary polite report, male speaker; temporary assigned role)
อาหารจานนี้เป็นเมนูมังสวิรัติค่ะ

This dish is a vegetarian menu item. (ordinary polite explanation, female speaker; category membership)
Temporary roles still use เป็น. Permanence is not the deciding factor; the construction characterizes the subject within a relevant class.
Step 3: Does one expression identify exactly who or what another expression denotes?
Use คือ. The left side is often a role description, question under discussion, demonstrative, or term; the right side supplies its identity, value, or definition.
ผู้จัดการฝ่ายบริการคือคุณมาลีค่ะ
phu chatkan fai borikan khue khun mali kha
The customer-service manager is Khun Mali. (ordinary polite identification, female speaker)
รหัสรับสินค้าคือ 4821 ครับ

A volunteer is a person who helps by choice. (formal-neutral definition, female speaker)
The definition use is especially frequent in teaching, reports, and presentations (formal/academic), but ordinary speakers also use คือ to identify people, objects, and explanations.
Minimal pairs: keep the vocabulary, change the relation
The following pairs show why swapping the copula changes how the same noun phrases are organized.

The English article often reveals the intended contrast in translation—a doctor versus the doctor—but Thai has no articles forcing it. Discourse and predicate choice create the reading.
Ambiguous contexts: add a cue
นี่เป็นเอกสารสมัครงาน and นี่คือเอกสารสมัครงาน are both possible. With เป็น, the speaker classifies the item as an application document. With คือ, the speaker identifies it as the particular document under discussion. Add material that makes the intended relation explicit.
นี่เป็นเอกสารสมัครงานแบบใหม่ค่ะ ใช้ได้ทุกสาขา
ni pen ekkasan samak ngan baep mai kha chai dai thuk sakha
This is a new type of job-application document; it can be used at every branch. (ordinary polite explanation, female speaker; classification)
นี่คือเอกสารสมัครงานที่คุณถามหาค่ะ
ni khue ekkasan samak ngan thi khun tham ha kha
This is the job-application document you were looking for. (ordinary polite identification, female speaker; relative clause fixes the referent)
Demonstrative นี่ establishes a deictic referent, but the remainder still decides between classifying it and identifying it. Deixis supports reference; it does not itself choose the copula.
Aspect and scope are not interchangeable
Because เป็น predicates a role or state, it combines naturally with temporal and aspectual material.
เมื่อก่อนคุณอรเคยเป็นหัวหน้าทีมนี้ค่ะ
muea kon khun on khoei pen hua na thim ni kha
Khun On used to be the head of this team. (ordinary polite report, female speaker; former role with เคยเป็น)
ปีหน้าผู้ช่วยของผมจะเป็นผู้ดูแลโครงการครับ
pi na phu chuai khong phom cha pen phu dulae khrongkan khrap
Next year my assistant will be the project supervisor. (formal-neutral forecast, male speaker; projected role with จะเป็น)
Do not create จะคือ simply because English says will be. For a scheduled identification, Thai can state the equation directly while a time phrase scopes over the clause: ผู้บรรยายพรุ่งนี้คืออาจารย์นภา “Tomorrow’s speaker is Ajarn Napha.” In ordinary conversation, clause-initial คือ... can also be a hesitation or explanation marker “the thing is...”; that discourse use is related but is not the equation tested here.

คุณปรียาเป็นเจ้าหน้าที่ฝ่ายไหนคะ

Common Mistakes
1. Using เป็น for exact identity
❌ เจ้าของรถคันนี้เป็นคุณสมชายครับ
Wrong for the intended exact identification of who owns the car; เป็น recasts the name as a class-like characterization.
✅ เจ้าของรถคันนี้คือคุณสมชายครับ
chao khong rot khan ni khue khun somchai khrap
The owner of this car is Khun Somchai. (ordinary polite identification, male speaker)
2. Using คือ when no identifying contrast is intended
พี่สาวฉันคือสถาปนิกค่ะ
phi sao chan khue sathapanik kha
My older sister is the architect. (possible when identifying which person is the architect, not as a neutral profession statement)
✅ พี่สาวฉันเป็นสถาปนิกค่ะ
phi sao chan pen sathapanik kha
My older sister is an architect. (ordinary polite characterization, female speaker)
The first sentence is not universally ungrammatical: it works when สถาปนิก identifies a unique person in the conversation. Without that contrast, use เป็น to state her profession.
3. Inserting a copula before a property
❌ แบบฟอร์มนี้เป็นยาวเกินไปครับ
Incorrect—ยาว is already a property predicate.
✅ แบบฟอร์มฉบับนี้ยาวเกินไปครับ
baep fom chabap ni yao koen pai khrap
This form is too long. (ordinary polite assessment, male speaker)
4. Negating คือ with ไม่คือ
❌ คำตอบสุดท้ายไม่คือข้อสามค่ะ
Incorrect—plain negative identity uses ไม่ใช่, not ไม่คือ.
✅ คำตอบสุดท้ายไม่ใช่ข้อสามค่ะ
