Original message thread: changing an appointment

This original message thread shows a routine but socially delicate task: asking a clinic to move an appointment. Neither participant issues a blunt command. Aarav combines passive voice and possibility in किया जा सकता है, Rina offers a slot with impersonal ठीक रहेगा, and both omit information already visible in the thread.

The exchange is polite everyday service language (neutral polite). It is less ceremonious than an official letter but more careful than messages between close friends. The spellings, punctuation, and complete sentences are slightly tidier than rushed real-world texting, while the ellipsis and turn structure remain natural.

The complete original message thread

ārav: namaste. kal cār baje ḍokṭar mehrā se merī mulāqāt tay hai. kyā use sāṛhe pā̃c baje kiyā jā saktā hai? — rīnā: namaste. maĩ ḍokṭar mehrā ke klinik se rīnā bol rahī hū̃. kal sāṛhe pā̃c baje ḍokṭar uplabdh nahīṃ haiṃ. kyā śukravār subah das baje ṭhīk rahegā? — ārav: śukravār das baje merī kakṣā hai. agar sāṛhe gyārah baje kā samay mil jāe, to mere lie āsān hogā. — rīnā: jī, sāṛhe gyārah baje kā samay xālī hai. maĩne āpkī mulāqāt kā samay badal diyā hai. der ho jāe, to fon kar dījiegā. — ārav: ṭhīk hai, bahut dhanyavād.

Aarav: Hello. I have an appointment with Dr. Mehra tomorrow at four. Could it be moved to five thirty? — Rina: Hello. This is Rina calling from Dr. Mehra's clinic. The doctor isn't available tomorrow at five thirty. Would Friday at ten in the morning work? — Aarav: I have a class at ten on Friday. If an eleven-thirty slot were available, that would be easier for me. — Rina: Yes, the eleven-thirty slot is free. I've changed the time of your appointment. If you're delayed, please call. — Aarav: All right, thank you very much.

The English repeatedly supplies appointment, slot, and you. Hindi first establishes मुलाक़ात, then retrieves it with उसे; later समय becomes the topic. In देर हो जाए, the delayed person is not named at all because only Aarav is expected to arrive for this appointment.

Opening with an existing arrangement

कल चार बजे डॉ. मेहरा से मेरी मुलाक़ात तय है।

kal cār baje ḍokṭar mehrā se merī mulāqāt tay hai.

I have an appointment with Dr. Mehra tomorrow at four. (polite neutral)

Hindi packages the appointment as the grammatical subject: मेरी मुलाक़ात तय है, literally “my meeting is fixed.” Feminine मेरी agrees with मुलाक़ात, not with male speaker Aarav. The professional to be met is marked with से: डॉ. मेहरा से.

Time comes first—कल चार बजे—because it identifies which booking is at issue. डॉ. is an orthographic abbreviation for डॉक्टर; the romanization expands what speakers say as ḍokṭar, rather than pretending the punctuation is pronounced.

The word मुलाक़ात is natural for an arranged consultation, though clinics also use अपॉइंटमेंट (informal/administrative Hinglish). The thread chooses Hindi vocabulary without sounding artificially Sanskritized.

A passive possibility request

क्या उसे साढ़े पाँच बजे किया जा सकता है?

kyā use sāṛhe pā̃c baje kiyā jā saktā hai?

Could it be moved to five thirty? (literally, ‘Can it be done at five thirty?’; polite)

Accusative उसे refers to the scheduled meeting. The passive modal chain can be segmented as किया | जा | सकता | है: perfective participle of करना + passive जाना + ability/possibility सकना + present auxiliary. The masculine default-looking किया … सकता does not agree with feminine मुलाक़ात because उसे is marked and the clause uses impersonal/default agreement.

This indirection serves a social purpose. Aarav asks whether the change is operationally possible rather than ordering Rina to change it. A direct उसे साढ़े पाँच बजे कर दीजिए is grammatical, but it presupposes more entitlement and leaves less room for the clinic's schedule.

💡
Service requests often depersonalize the requested action: क्या X किया जा सकता है? asks about feasibility while still clearly requesting help.

Institutional self-identification and honorific reference

मैं डॉ. मेहरा के क्लिनिक से रीना बोल रही हूँ।

maĩ ḍokṭar mehrā ke klinik se rīnā bol rahī hū̃.

This is Rina calling from Dr. Mehra's clinic. (female speaker; polite telephone formula)

This is a conventional telephone/message introduction. क्लिनिक से marks the institution from which Rina speaks, and रीना बोल रही हूँ identifies the speaker. English naturally says This is Rina; word-for-word I am Rina speaking would miss the formula's ordinary register.

The possessive phrase is डॉ. मेहरा का क्लिनिक. Before masculine क्लिनिक, का would normally stay का, but the form here is डॉ. मेहरा के क्लिनिक से because क्लिनिक becomes oblique before से, and agreeing का correspondingly becomes के.

कल साढ़े पाँच बजे डॉक्टर उपलब्ध नहीं हैं।

kal sāṛhe pā̃c baje ḍokṭar uplabdh nahīṃ haiṃ.

The doctor isn't available tomorrow at five thirty. (respectful reference)

Rina need not repeat the name; डॉक्टर is now uniquely identified. Respectful plural हैं refers to one doctor. उपलब्ध (neutral/formal service language) is concise in scheduling; everyday alternatives include खाली नहीं हैं or उस समय नहीं मिल पाएँगे, with somewhat different nuances.

Offering a time without naming the appointment

क्या शुक्रवार सुबह दस बजे ठीक रहेगा?

kyā śukravār subah das baje ṭhīk rahegā?

Would Friday at ten in the morning work? (polite)

The grammatical subject is an understood समय or शुक्रवार सुबह दस बजे का समय. Masculine singular रहेगा reflects that implicit time slot. ठीक रहेगा? asks whether the proposal will be suitable; it is softer than शुक्रवार दस बजे आइए “Come Friday at ten.”

This is genuine ellipsis, not random omission. The immediately preceding request establishes appointment scheduling as the topic, and a clock time can conventionally stand for a slot. In a message arriving without that context, क्या शुक्रवार सुबह दस बजे का समय आपके लिए ठीक रहेगा? would be clearer.

अगर … तो and a softened counterproposal

शुक्रवार दस बजे मेरी कक्षा है।

śukravār das baje merī kakṣā hai.

I have a class at ten on Friday.

Aarav gives a reason before rejecting the proposed time. Hindi again uses a possession-like existential: “my class exists/is [scheduled],” not a verb meaning have. Feminine मेरी agrees with कक्षा.

अगर साढ़े ग्यारह बजे का समय मिल जाए, तो मेरे लिए आसान होगा।

agar sāṛhe gyārah baje kā samay mil jāe, to mere lie āsān hogā.

If an eleven-thirty slot were available, that would be easier for me. (polite counterproposal)

The conditional frame अगर … तो … keeps the counterproposal tentative. समय मिल जाए is literally “a time slot become available / be obtained”; conjunct जाए adds successful attainment and appears in the subjunctive because availability is not yet established. Dative-benefactive मेरे लिए limits the judgment: Aarav says it would be easier for him, not that Rina's proposal is objectively bad.

Masculine आसान होगा again takes the implicit proposed arrangement as its subject. The two future/subjunctive-looking forms create respectful distance from a blunt मुझे साढ़े ग्यारह बजे चाहिए “I want eleven thirty.”

Confirming the change

जी, साढ़े ग्यारह बजे का समय खाली है।

jī, sāṛhe gyārah baje kā samay xālī hai.

Yes, the eleven-thirty slot is free. (polite)

जी acknowledges the client before the factual answer. खाली literally means empty but, with समय, means unbooked or available. The full noun phrase makes confirmation less ambiguous than a bare हाँ, मिल जाएगा.

मैंने आपकी मुलाक़ात का समय बदल दिया है।

maĩne āpkī mulāqāt kā samay badal diyā hai.

I've changed the time of your appointment. (polite)

Ergative मैंने marks the agent of the completed transitive action. बदल दिया है consists of the bare main-verb stem बदल- plus the inflected completive vector दिया, followed by present auxiliary है. The vector presents the change as completed and effected, and masculine singular दिया agrees with unmarked direct object समय.

The nested possessives run outward: आपकी मुलाक़ात “your appointment” (feminine की with मुलाक़ात), then मुलाक़ात का समय “the appointment's time” (masculine का with समय). English speakers often make आपका agree with respectful आप; Hindi possessives instead agree with the possessed noun.

A future-polite reminder

देर हो जाए, तो फ़ोन कर दीजिएगा।

der ho jāe, to fon kar dījiegā.

If you're delayed, please call. (polite, gently prospective)

The first clause literally says “if lateness occurs.” The person delayed is omitted, and हो जाए presents the possibility as accidental rather than accusatory. फ़ोन कर दीजिएगा is a future-marked polite imperative. In many requests it sounds considerate and prospective: “please do call [then].” It is not a prediction that the listener will call.

Bare फ़ोन कीजिए is also polite but more immediate. कर दीजिएगा combines the light verb देना with the future-polite ending -गा, framing the call as a helpful action to complete if the condition arises.

💡
In polite scheduling, grammar distributes face-work across the exchange: passive possibility for the request, conditional mood for the counterproposal, and future-polite -जिएगा for a reminder.

Common Mistakes

Using singular agreement for a respectfully mentioned doctor

❌ कल डॉक्टर उपलब्ध नहीं है।

Nonhonorific singular in this service context; the thread refers respectfully to the doctor.

✅ कल डॉक्टर उपलब्ध नहीं हैं।

kal ḍokṭar uplabdh nahīṃ haiṃ.

The doctor isn't available tomorrow. (respectful)

Making आपका agree with the person rather than the possessed noun

❌ आपका मुलाक़ात का समय बदल दिया है।

Incorrect—feminine मुलाक़ात requires आपकी.

✅ आपकी मुलाक़ात का समय बदल दिया है।

āpkī mulāqāt kā samay badal diyā hai.

The time of your appointment has been changed.

Translating “meet the doctor” with a bare object

❌ कल मेरी डॉ. मेहरा मुलाक़ात है।

Incorrect—the person one meets is linked with से, and मुलाक़ात needs the possessive predicate frame.

✅ कल डॉ. मेहरा से मेरी मुलाक़ात है।

kal ḍokṭar mehrā se merī mulāqāt hai.

I have an appointment with Dr. Mehra tomorrow.

Turning a polite counterproposal into a demand

❌ अगर साढ़े ग्यारह बजे का समय मिल जाए, तो मेरे लिए आसान होगी।

Incorrect agreement—the understood masculine समय requires आसान होगा, not होगी.

✅ अगर शुक्रवार साढ़े ग्यारह बजे का समय मिल जाए, तो मेरे लिए आसान होगा।

agar śukravār sāṛhe gyārah baje kā samay mil jāe, to mere lie āsān hogā.

If a Friday eleven-thirty slot were available, that would be easier for me.

Key Takeaways

  • क्या … किया जा सकता है? frames a service request as a question about feasibility.
  • Respectful reference to one doctor takes plural हैं, while possessives agree with the possessed noun.
  • ठीक रहेगा? offers a time without ordering the client to accept it.
  • अगर … मिल जाए, तो … होगा makes a counterproposal tentative and viewpoint-sensitive.
  • Future-polite कर दीजिएगा gives a gentle instruction for a possible later situation; see request levels.

From thread order to neutral prose

The thread releases information turn by turn: existing booking → requested time → unavailability → alternative → conflict → second alternative → confirmation. Pronouns and omitted nouns are safe because every message answers the immediately preceding one. This adjacency also makes the refusals sound cooperative.

A neutral administrative note collects the same facts without the interpersonal negotiation:

ārav kī ḍokṭar mehrā se mulāqāt pahle kal śām cār baje ke lie tay thī. ārav ne use sāṛhe pā̃c baje karne kā anurodh kiyā, lekin ḍokṭar us samay uplabdh nahīṃ the. śukravār subah das baje kā vikalp bhī ārav kī kakṣā ke kāraṇ upyukt nahīṃ thā. islie klinik ne mulāqāt kā samay śukravār sāṛhe gyārah baje kar diyā aur der hone kī sthiti meṃ ārav se fon karne ko kahā.

Aarav's appointment with Dr. Mehra had initially been scheduled for four tomorrow afternoon. Aarav requested that it be moved to five thirty, but the doctor was unavailable then. The Friday ten-a.m. option was also unsuitable because of Aarav's class. The clinic therefore moved the appointment to eleven thirty on Friday and asked Aarav to call if he was delayed. (neutral administrative prose)

The report names Aarav repeatedly, turns requests into nouns such as अनुरोध and विकल्प, and removes जी and धन्यवाद. It records the outcome efficiently, but it no longer shows how politeness was jointly built.
