There is no single “institutional Hindi.” A government notice, a teacher's classroom instruction, a university email, and a conversation at an office counter all select different grammar and vocabulary. Some institutions work mainly in Hindi; others routinely combine Hindi with English or another regional language. Even inside one office, the printed form may be Sanskrit-heavy while the staff explain it in everyday Hindi.
The most useful clues are observable: who receives आप or तुम, whether a title such as सर, मैडम, or जी is used, whether an instruction has an imperative or an impersonal passive, and whether familiar words such as फ़ॉर्म coexist with formal words such as आवेदन. These choices index setting and relationship; they do not reveal an employee's or student's worth, education, region, or religion by themselves.
Address in classrooms is relational
Students commonly address a teacher with आप and honorific agreement. सर and मैम/मैडम are widespread English-derived vocatives; a name plus जी and role terms such as अध्यापक/अध्यापिका also occur. Practice differs by institution and generation, so listen for the local convention rather than mechanically adding जी to every title.
मैम, क्या आप यह सवाल एक बार फिर समझा देंगी?
maim, kyā āp yah savāl ek bār phir samjhā deṅgī?
Ma'am, would you explain this question once more? (respectful, addressing a woman)
Feminine honorific देंगी agrees semantically with the teacher, while आप triggers respectful plural morphology. A male addressee would normally receive समझा देंगे. The compound समझा देना packages the explanation as a requested favor; the future question softens the request.
A teacher's choice for students varies. तुम can be ordinary with children or an established class; आप is common with adult students and in settings that cultivate reciprocal formality. Bare imperatives may organize a child classroom without expressing anger.
किताबें खोलो और तीसरा अनुच्छेद चुपचाप पढ़ो।
kitābeṃ kholo aur tīsrā anucched cupcāp paṛho.
Open your books and read the third paragraph quietly. (teacher to a familiar group of pupils)
आप लोग अपने उत्तर पोर्टल पर जमा कर दीजिए।
āp log apne uttar porṭal par jamā kar dījie.
Please submit your answers on the portal. (respectful, to adult students)
आप लोग explicitly pluralizes the addressee group; अपने उत्तर relates each answer to its writer. A teacher who uses तुम with younger students is not necessarily disrespectful, and a learner should not imitate तू unless that relationship is unmistakably established.
At an office counter: direct but respectful Hindi
Service encounters often begin with neutral आप on both sides. A visitor can state the task with मुझे X जमा करना है, ask permission with क्या मैं…?, or request guidance with कृपया बताइए. The employee may use a respectful imperative without sounding ceremonious.
मुझे पते का प्रमाण जमा करना है। कृपया बताइए, किस काउंटर पर जाऊँ?
mujhe pate kā pramāṇ jamā karnā hai. kripyā batāie, kis kāuṇṭar par jāū̃?
I need to submit proof of address. Please tell me which counter I should go to. (polite service encounter)
पहले यह फ़ॉर्म भर लीजिए, फिर दोनों प्रतियाँ मेरे पास ले आइए।
pahle yah form bhar lījie, phir donoṃ pratiyā̃ mere pās le āie.
First fill in this form, then bring both copies to me. (respectful instruction)
The experiencer frame मुझे…करना है expresses an obligation relevant to the speaker. In the reply, भर लीजिए presents completion as the visitor's next useful step. दोनों प्रतियाँ is feminine plural because प्रति is feminine; numeral दोनों does not remove that lexical gender.
Name plus जी can make an exchange warmer: वर्मा जी, आपकी फ़ाइल तैयार है. Occupational labels should be used only when appropriate. Calling every official अफ़सर साहब may sound dated, deferential, ironic, or regionally marked; plain आप often carries all the needed respect.
Notices remove the conversational speaker
Printed administrative language frequently replaces an agent and addressee with a passive or generic plural imperative. Compare three versions of one instruction:
| Formulation | Grammar | Usual setting |
|---|---|---|
| आप सोमवार तक फ़ॉर्म भेज दीजिए। | आप + honorific imperative | spoken guidance or personal email |
| आवेदक सोमवार तक फ़ॉर्म जमा करें। | generic plural imperative | clear formal notice |
| फ़ॉर्म सोमवार तक जमा किया जाना चाहिए। | impersonal passive obligation | regulation or procedural instruction |
सभी विद्यार्थियों को सूचित किया जाता है कि परीक्षा की तारीख़ बदल दी गई है।
sabhī vidyārthiyoṃ ko sūcit kiyā jātā hai ki parīkṣā kī tārīx badal dī gaī hai.
All students are informed that the exam date has been changed. (formal administrative)
The impersonal सूचित किया जाता है suppresses the notifying institution; the recipient remains overt with को. Inside the कि clause, feminine तारीख़ controls बदल दी गई है. This architecture is useful when the procedure, not the writer, is foregrounded. It can also hide responsibility, so clearer public communication sometimes names the agent: विभाग ने परीक्षा की तारीख़ बदल दी है.
विभाग ने दस्तावेज़ों की जाँच पूरी कर ली है; परिणाम शुक्रवार को भेजे जाएँगे।
vibhāg ne dastāvezoṃ kī jā̃c pūrī kar lī hai; pariṇām śukravār ko bheje jāẽge.
The department has completed its review of the documents; the results will be sent on Friday. (clear formal prose)
This version alternates an active first clause, which assigns responsibility to विभाग, with a passive second clause, where the delivery matters more than the sender.
Vocabulary has layers, not purity levels
Administrative Hindi often uses Sanskrit-derived आवेदन, प्रमाण, सत्यापन, अधिसूचना, and निर्धारित तिथि. Everyday explanations may prefer फ़ॉर्म, सबूत, जाँच, नोटिस, and आख़िरी तारीख़. Perso-Arabic दफ़्तर, काग़ज़, तारीख़, दाख़िल, and दरख़ास्त are established in many repertoires. English-derived ईमेल, पोर्टल, लॉगिन, and अटैचमेंट are routine in digital work.
नोटिस में ‘पहचान का सत्यापन’ लिखा है—यानी वे आपकी आईडी चेक करेंगे।
noṭis meṃ ‘pahcān kā satyāpan’ likhā hai—yānī ve āpkī āīḍī cek kareṅge.
The notice says ‘identity verification’—that is, they'll check your ID. (everyday explanation of formal wording)
The speaker does not change languages wholesale. आईडी चेक करेंगे uses English lexical material inside a Hindi future predicate, while आपकी agrees with feminine आईडी. This kind of reformulation is often an accessibility skill.
कृपया आवेदन के साथ आवश्यक दस्तावेज़ संलग्न करें।
kripyā āvedan ke sāth āvaśyak dastāvez saṃlagn kareṃ.
Please attach the required documents to the application. (formal written)
फ़ॉर्म के साथ ज़रूरी काग़ज़ भी लगा दीजिए।
form ke sāth zarūrī kāġaz bhī lagā dījie.
Please attach the necessary papers with the form too. (spoken explanation)
Both are grammatical. The first fits a notice; the second fits an employee helping at a counter. More Sanskrit-derived wording is not inherently more correct, and English vocabulary is not evidence that Hindi grammar has disappeared.
Language choice varies by institution
India's Union, states, courts, schools, and private organizations do not all operate under one language rule. A form may be bilingual; a school may teach through Hindi, English, or a regional language; employees may shift languages for a citizen. The official-language framework is not the claim that Hindi is India's sole national language.
A useful language-negotiation question is direct and neutral:
क्या यह फ़ॉर्म हिंदी में मिल सकता है, या केवल अंग्रेज़ी में है?
kyā yah form hindī meṃ mil saktā hai, yā keval aṅgrezī meṃ hai?
Can this form be obtained in Hindi, or is it only in English? (polite neutral)
आप चाहें तो मैं नियम हिंदी में समझा सकता हूँ।
āp cāheṃ to maĩ niyam hindī meṃ samjhā saktā hū̃.
If you wish, I can explain the rules in Hindi. (male employee; respectful)
The conditional आप चाहें तो offers accommodation without implying inability. A female employee would say समझा सकती हूँ. In a multilingual office, the appropriate alternative may be English or a regional language, and the participants themselves know which option is useful.
A newly composed school-office exchange
chātrā: sar, chātravritti vāle form kī āxirī tārīx kyā hai? — karmacārī: tārīx agle somvār tak baṛhā dī gaī hai. āp form onlāin bharie aur pramāṇ-patr kī kopī yahā̃ jamā kar dījie. — chātrā: kyā īmel se bhej saktī hū̃? — karmacārī: hā̃, lekin mūl prati bād meṃ lānī hogī.
Student: Sir, what is the deadline for the scholarship form? — Employee: It has been extended until next Monday. Fill out the form online and submit a copy of the certificate here. — Student: Can I send it by email? — Employee: Yes, but the original copy will have to be brought later. (polite institutional exchange)
The student uses सर and leaves आप unspoken in a direct question. The employee uses formal passive बढ़ा दी गई है, respectful imperatives, and ordinary English loans. Feminine सकती हूँ agrees with the student; obligation लानी होगी agrees with understood feminine मूल प्रति.
Common Mistakes
Pairing आप with singular है
❌ मैडम, आप आज दफ़्तर में है?
Incorrect respectful agreement: आप takes हैं.
✅ मैडम, आप आज दफ़्तर में हैं?
maiḍam, āp āj daftar meṃ haiṃ?
Ma'am, are you in the office today?
Copying English preposition order
❌ कृपया साथ आवेदन दस्तावेज़ लगाइए।
Incorrect order: के साथ follows the noun phrase it relates to.
✅ कृपया आवेदन के साथ दस्तावेज़ लगाइए।
kripyā āvedan ke sāth dastāvez lagāie.
Please attach the documents to the application.
Treating maximum formality as maximum clarity
⚠️ अभ्यर्थी प्रमाणीकरणोपरांत अधोहस्ताक्षरी से संपर्क स्थापित करे।
abhyarthī pramāṇīkaraṇoprānt adhohastākṣarī se sampark sthāpit kare.
Possible bureaucratic Hindi, but needlessly dense for a routine public instruction.
✅ सत्यापन के बाद आवेदक इस कार्यालय से संपर्क करें।
satyāpan ke bād āvedak is kāryālay se sampark kareṃ.
After verification, applicants should contact this office. (clear formal)
Assuming every institution uses only Hindi
❌ भारत के हर स्कूल और सरकारी दफ़्तर में केवल हिंदी इस्तेमाल होती है।
Factually incorrect: language practice varies by jurisdiction, institution, medium, and participants.
✅ इस कार्यालय में हिंदी और अंग्रेज़ी दोनों में फ़ॉर्म मिलते हैं।
is kāryālay meṃ hindī aur aṅgrezī donoṃ meṃ form milte haiṃ.
Forms are available in both Hindi and English at this office. (local factual statement)
Using तू in a neutral public notice
❌ तू अपना फ़ॉर्म कल तक जमा कर।
Socially inappropriate as a general public instruction: तू presupposes an intimate or highly unequal relationship.
✅ कृपया अपना फ़ॉर्म कल तक जमा करें।
kripyā apnā form kal tak jamā kareṃ.
Please submit your form by tomorrow. (formal neutral)
Key Takeaways
- Track आप/tum, imperative ending, title, and agreement separately; institutional roles do not set them mechanically.
- Use active clauses when responsibility matters and passives when procedure or result is the focus.
- Formal, everyday, Perso-Arabic, and English-derived vocabulary can coexist coherently.
- Ask which languages an institution actually uses instead of assuming one national pattern.
- The best administrative Hindi preserves necessary precision while making the required action easy to understand.
