Writing a Formal Letter or Email

A formal Hebrew letter is built from a frame: addressee, subject, greeting, purpose, requested action and closing. Hebrew has no English-style choice between an informal you and a formal you, so the frame and the wording—not a special pronoun—carry the formality. Learn the frame as a reusable tool, then make the body as concrete as possible.

The conventional labels לכבוד and הנדון are taught here from attested Israeli institutional letters, including government and National Insurance correspondence. They did not have a relevant dictionary entry in the reference works consulted for this page; they are letter-practice conventions, not meanings invented from a dictionary gloss.

Keep the subject line short: name the document, charge, application or decision. The explanation belongs in the body. A reader who handles hundreds of cases should understand the file category before reading sentence one.

Request formulas, ranked by stance

אבקש ל־ is direct but conventional: it explicitly performs the request. אודה לך אם תוכל packages the requested action as a condition for gratitude and is more deferential. With an office or team, plural לכם / תוכלו / התייחסותכם can address the institution collectively; that plural frame supplies distance which English often supplies with titles or you versus older thou.

In attachment notation, מצ״ב expands as מצורף בזה or מצורף בזאת; רצ״ב is a synonymous conventional abbreviation. Use either only when an attachment is actually present. בהמשך לשיחתנו establishes continuity with a call, while אשמח לקבל את התייחסותכם asks for a considered response rather than merely an acknowledgment.

Cross-cultural request research in the CCSARP project found impersonal perspective in roughly 30% of the Hebrew requests sampled, against about 3% in Australian English. That helps explain the usefulness of אבקש, אפשר and passive or attachment-centered wording: Hebrew can reduce pressure without inventing a formal second-person pronoun. This does not make Hebrew requests unmitigated; the strategy shifts attention away from the addressee while the letter frame supplies respect.

Two fully worked letters

Here is a complaint to a service provider. The chronology is factual, the requested remedy is measurable, and the attachment is named.

The next letter is an inquiry to a government office. It supplies the identifying date, asks one answerable question and uses the more ceremonial closing.

A lighter colleague email

Email does not require the full paper-letter frame in every relationship. A colleague can receive a named greeting, one continuity phrase, the action and the neutral closing:

Hi Yael, the updated draft is attached. (ordinary colleague email; lighter than an institutional letter)

בברכה is the broad modern closing for formal and semi-formal correspondence. בכבוד רב is more ceremonious and fits a formal first approach, an official inquiry or a letter where deliberate distance is appropriate. Neither is a word-for-word equivalent selected by the English distinction between Sincerely yours and Yours faithfully.

Common Mistakes

1. Translating “Dear Sir” as אדון יקר. That phrase is grammatical, but it is not the conventional institutional opening. Use the letter frame.

2. Doubling the preposition after לכבוד. לכבוד directly introduces the addressee.

❌ לכבוד אל מנהלת האגף

Incorrect — לכבוד already introduces the addressee; do not add אל.

✅ לכבוד מנהלת האגף

To the director of the division.

3. Using the wrong complement after בהמשך. Correspondence continues ל־ something.

❌ בהמשך את שיחתנו, אני שולח את הקבלה.

Incorrect — בהמשך takes ל־ here, not the direct-object marker את.

✅ בהמשך לשיחתנו, אני שולח את הקבלה.

4. Asking for “a response” without naming the matter. התייחסות normally takes ל־ when you specify what the response concerns.

❌ אשמח לקבל התייחסותכם את הבקשה.

Incorrect — use התייחסות ל־ for a response to a matter.

✅ אשמח לקבל את התייחסותכם לבקשה.
