Formal Email and Letters

A formal Arabic email or letter is a small action sequence: identify the matter, establish the relationship, state the purpose, make any request, supply the information needed for a response, and close at an appropriate distance. Contemporary Modern Standard Arabic offers conventions for each stage, but no single ceremonial formula fits every recipient (formal correspondence).

The best message lets a busy reader answer three questions immediately: why am I receiving this, what response is requested, and when is it needed? Titles and courtesy matter, but they should support those answers rather than bury them under inherited bureaucratic wording.

Match the form to the relationship

A routine email to a known colleague can be direct and warm. A first message to a professor, client, or public official normally needs a title and more explicit framing. An official letter representing an institution may add a reference number, date, subject line, and fixed closing (formal/administrative).

The adjective المحترم/المحترمة agrees with the title or person it modifies. In direct spoken address, Arabic commonly uses يا أستاذة سارة without the article; a written heading such as الأستاذة سارة المحترمة is a different construction. See Titles and Forms of Address for the full contrast.

الأستاذة نجلاء خليل المحترمة، تحية طيبة، أكتب إليك بشأن موعد المقابلة.

al-ʾustādhatu najlāʾu khalīlun al-muḥtarama(h), taḥiyyatan ṭayyiba(h), ʾaktubu ʾilayki bi-shaʾni mawʿidi l-muqābala(h).

Dear Ms. Najla Khalil, greetings. I am writing to you regarding the interview date. (first formal contact with a woman)

English Dear does not require literal عزيزي/عزيزتي in every Arabic message. Those words can signal personal warmth and suit familiar correspondents; a title plus المحترم/المحترمة maintains professional distance.

Let the subject and opening do real work

A useful subject line names the action or document, not merely “important” or “request.” It is usually a compact noun phrase. The opening sentence then supplies the context that the subject cannot carry.

الموضوع: طلب إفادة بالتسجيل للفصل الخريفي.

al-mawḍūʿ: ṭalabu ʾifādatin bi-t-tasjīli li-l-faṣli l-kharīfiyy.

Subject: Request for proof of registration for the fall semester. (informative subject line)

أكتب للاستفسار عن حالة الطلب الذي قدمته في الثالث من سبتمبر.

ʾaktubu li-l-istifsāri ʿan ḥālati ṭ-ṭalabi lladhī qaddamtuhu fī th-thālithi min sibtambar.

I am writing to inquire about the status of the application I submitted on September 3. (purpose plus identifying detail)

تحية طيبة، is a compact neutral professional opening. تحية طيبة وبعد، and السلام عليكم ورحمة الله وبركاته، are also established (formal) options, with different institutional and cultural coloring. There is no need to stack all three.

Write the subject line after drafting the request. If the subject cannot name the requested action in six or seven words, the body may still be trying to do several unrelated jobs.

Make the request proportionate and answerable

A request needs an action, an object, and—when relevant—a deadline or reason. أرجو أن... and أرجو + verbal noun are standard in correspondence. هل يتسنى لك...؟ is courteous and somewhat formal; هل يمكنك...؟ is neutral and direct. Impersonal يرجى suits instructions issued by an institution better than a personal favor.

The same proposition can be packaged at two levels of distance:

أرسلي النسخة المعدلة اليوم لو سمحت يا مها.

ʾarsilī n-nuskhata l-muʿaddalata l-yawma law samaḥti yā muhā.

Please send the revised version today, Maha. (direct request to a familiar female colleague; less formal)

أرجو إرسال النسخة المعدلة قبل الساعة الرابعة حتى يتمكن الفريق من مراجعتها اليوم.

ʾarjū ʾirsāla n-nuskhati l-muʿaddalati qabla s-sāʿati r-rābiʿati ḥattā yatamakkanu l-farīqu min murājaʿatihā l-yawm.

Please send the revised version before four so that the team can review it today. (formal professional request with reason and deadline)

The second message is not more polite merely because it is longer. It is better suited to formal correspondence because it makes the operational need explicit. If the deadline is negotiable, say so rather than presenting it as fixed.

إن تعذر إرسال التقرير غدا، فهل يمكنك تحديد موعد بديل هذا الأسبوع؟

ʾin taʿadhdhara ʾirsālu t-taqrīri ghadan, fa-hal yumkinuka taḥdīdu mawʿidin badīlin hādhā l-ʾusbūʿ?

If sending the report tomorrow is not possible, could you propose another date this week? (response path made explicit; addressing one man)

Build paragraphs around functions

Arabic correspondence does not require one enormous courtesy paragraph. A clear professional email usually benefits from short functional paragraphs:

  1. context and purpose;
  2. request and supporting details;
  3. deadline, attachment, or response route;
  4. closing.

A new paragraph should represent a new communicative job, not merely a visual break after a fixed number of lines. Pronouns should have unambiguous antecedents; repeat الطلب or الملف when ـه could refer to two different nouns.

أرفق بهذه الرسالة مسودة العقد. أرجو مراجعة البند الخامس تحديدا، لأنه يتضمن موعد التسليم الجديد. ويمكن إرسال الملاحظات في ملف منفصل قبل نهاية الثلاثاء.

urfiqu bi-hādhihi r-risālati musawwadata l-ʿaqd. ʾarjū murājaʿata l-bandi l-khāmisi taḥdīdan, li-ʾannahu yataḍammanu mawʿida t-taslīmi l-jadīd. wa-yumkinu ʾirsālu l-mulāḥaẓāti fī malaffin munfaṣilin qabla nihāyati th-thulāthāʾ.

I attach the draft contract to this message. Please review Clause 5 in particular, because it contains the new delivery date. Comments may be sent in a separate file by the end of Tuesday. (three functional sentences)

The active first sentence owns the act of attaching. The second identifies the requested review and reason. The impersonal third sentence is appropriate because it offers a response method rather than hiding a responsible actor.

Close at the same level of distance

مع خالص التحية “with kind regards” is broadly useful in professional email. مع خالص التقدير adds respectful distance. وتفضلوا بقبول فائق الاحترام is an established (formal/administrative) closing for some official letters but can be disproportionate in a two-line internal email. Match the closing to the opening instead of abruptly moving from “Hi” to ceremonial deference.

شكرا لوقتك، وأرجو تأكيد استلام المستندات. مع خالص التقدير، سامر الخطيب.

shukran li-waqtika, wa-ʾarjū taʾkīda stilāmi l-mustanadāt. maʿa khāliṣi t-taqdīr, sāmiru l-khaṭīb.

Thank you for your time, and please confirm receipt of the documents. With sincere appreciation, Samer al-Khatib. (formal closing to one man)

A short formal email model

السيد مدير إدارة المنح المحترم، تحية طيبة وبعد، أكتب للاستفسار عن نتيجة طلبي المقدم في العاشر من أغسطس. وقد طلبت الإدارة وثيقة إضافية، فأرسلتها عبر المنصة في الثاني عشر من الشهر نفسه. أرجو إفادتي بما إذا كان الملف مكتملا، وبالموعد المتوقع لإعلان النتيجة. مع خالص التقدير، ليلى منصور.

The model identifies the application twice, establishes chronology, and asks two answerable questions. طلبت الإدارة keeps agency visible; the passive in الموعد المتوقع لإعلان النتيجة is compact because the announcement process—not a disputed actor—is the topic. The paragraph is formal without pretending that ceremony is evidence.

Editing for agency, stance, and density

بالإشارة إلى الموضوع أعلاه، نحيطكم علما بأنه قد تمت من قبلنا عملية القيام بإرسال المستندات المطلوبة سابقا.

bi-l-ishārati ʾilā l-mawḍūʿi ʾaʿlāh, nuḥīṭukum ʿilman bi-ʾannahu qad tammat min qibalinā ʿamaliyyatu l-qiyāmi bi-ʾirsāli l-mustanadāti l-maṭlūbati sābiqan.

With reference to the above matter, we hereby inform you that the process of sending the previously requested documents was carried out by us. (grammatical but bureaucratically overloaded)

أرسلنا المستندات المطلوبة أمس، ونرفق بهذه الرسالة نسخة من إيصال التسليم.

ʾarsalnā l-mustanadāti l-maṭlūbata ʾams, wa-nurfiqu bi-hādhihi r-risālati nuskhatan min ʾīṣāli t-taslīm.

We sent the requested documents yesterday and attach a copy of the delivery receipt to this message. (clear revision)

The revision names the sender, fixes the time, and gives verifiable evidence. It is also shorter. Formal correspondence benefits from nominal phrases such as إيصال التسليم, but not from inserting عملية القيام بـ between the writer and the action.

Before sending, highlight every request and every date. If the recipient cannot pair each request with the document, deadline, or response channel it needs, revise the message's structure rather than adding more courtesy formulas.

Common Mistakes

Mismatching a title and its adjective

❌ السيدة مدير الموارد البشرية المحترم،

Incorrect agreement and title selection for a woman: the occupational title and adjective must both be feminine.

✅ السيدة مديرة الموارد البشرية المحترمة،

Dear Director of Human Resources, (addressing a woman)

Sending a regional message as though it were neutral MSA

لو سمحت ابعت لي الورق الناقص بكرة.

law samaḥt ibʿat lī l-waraʾ in-nāqiṣ bukra.

Please send me the missing papers tomorrow. (Egyptian Arabic; valid for a matching relationship, not an unlabeled cross-regional formal email)

أرجو إرسال الوثائق الناقصة غدا، إن أمكن.

ʾarjū ʾirsāla l-wathāʾiqi n-nāqiṣati ghadan, ʾin ʾamkan.

Please send the missing documents tomorrow, if possible. (formal MSA)

Translating English Dear mechanically

عزيزي السيد مدير الضرائب،

ʿazīzī s-sayyidu mudīru ḍ-ḍarāʾib,

My dear Mr. Director of Taxes, (grammatical words but mismatched intimacy in a first official contact)

السيد مدير إدارة الضرائب المحترم،

أرجو تزويدي بالنسخة النهائية من التقرير.
