Formal Esperanto correspondence succeeds through explicit purpose, respectful requests, accurate reference, and a restrained closing—not through maximal length or ceremonial vocabulary. Since sender and recipient may follow different national letter traditions, transparent structure is itself a form of politeness.
Grammar does not prescribe one universal email template. Salutations, capitalization, punctuation, and closings vary by organization and personal practice. This page separates stable Esperanto syntax from widely useful conventions and house-style choices.
Put the purpose near the beginning
After the salutation, state why you are writing: Mi skribas por …, Mi petas informon pri …, Mi respondas al via mesaĝo de …, or Mi kandidatiĝas por …. The recipient should not have to cross a paragraph of courtesy before finding the action.
Mi skribas por peti informon pri la alirebleco de la kongresejo.
I am writing to request information about the accessibility of the congress venue.
Mi respondas al via mesaĝo de la 12-a de Junio pri la renovigo de nia kontrakto.
I am responding to your message of June 12 concerning the renewal of our contract.
The date and topic identify the correspondence. Capitalization of a standalone month follows this guide's house style; it is editorial convention, not a new grammatical category.
A subject line should name the task: Peto pri faktura korekto is more useful than Grava mesaĝo. Avoid English noun stacks by displaying relationships with pri, de, or a clause.

Salutations: identify the relationship
Estimata + title/name is a dependable (formal) opening: Estimata sinjorino Chen, Estimata profesoro Diallo, Estimataj membroj de la komitato. Kara expresses personal warmth and ranges from friendly professional to informal depending on the relationship. Do not use kara merely because English business mail begins with Dear.
Estimata sinjorino Okafor, mi dankas vin pro via rapida respondo.
Dear Ms. Okafor, thank you for your prompt response.
Estimataj membroj de la elekta komisiono, mi prezentas mian kandidatiĝon por la posteno de projektestro.
Dear members of the selection committee, I submit my application for the position of project manager.
When you know neither a name nor a useful role, Estimataj gesinjoroj is established but can feel impersonal. A functional address—Estimata klienta servo or Al la respondeculo pri aliĝoj—often directs the message more effectively.
Titles and name forms vary. Preserve the recipient's stated name and title rather than guessing gender or adapting the name unnecessarily. See names, titles, and honorific nouns for the wider system.
Make requests respectful and operational
Formal requests still need a clear verb, object, and deadline. Bonvolu + infinitive is concise; Ĉu vi povus + infinitive? makes room for feasibility; Mi petas, ke + -u suits an explicit institutional request.
Bonvolu konfirmi la ricevon de la dokumentoj ĝis la 18-a de Junio.
Please confirm receipt of the documents by June 18.
Ĉu vi povus informi min, ĉu la kotizo inkluzivas la vespermanĝon?
Could you inform me whether the fee includes dinner?
Ni petas, ke ĉiu kandidato aldonu du profesiajn referencojn.
We ask each candidate to add two professional references.
Politeness does not require hiding the request in layers of conditional nouns. Mi ŝatus peti, ĉu eble estus eble… delays the action and may make the sentence harder for an international reader. One softening device plus a reason is normally enough.
Refer to files, prior contact, and evidence precisely
Use alkroĉite or a full clause for attachments, and identify what the file is for. Do not assume the recipient will infer the relation from a filename.
Mi alkroĉas la subskribitan formularon kaj kopion de mia identiga dokumento.
I attach the signed form and a copy of my identity document.
Laŭ nia telefona interparolo de hieraŭ, la nova liverdato estos la 3-a de Julio.
According to our telephone conversation yesterday, the new delivery date will be July 3.
Laŭ marks the source of the information or agreement; it does not itself prove that both parties interpreted the call identically. For a consequential commitment, invite correction: Bonvolu sciigi min, se mi miskomprenis iun detalon.

This negative conditional is courteous because it makes repair possible without weakening the stated record.
Paragraph structure and density
A practical formal message often has four moves:
- purpose and reference;
- necessary facts;
- requested action and deadline;
- thanks and closing.
Keep each paragraph centered on one move. Legal or administrative details may require long sentences, but place conditions beside the proposition they limit. Repeating a defined term can be clearer than alternating elegant synonyms.
La aliĝo validos post ricevo de la pago. Se la pago ne alvenos ĝis la limdato, ni liberigos la rezervitan lokon.
The registration will be valid after receipt of payment. If payment does not arrive by the deadline, we will release the reserved place.
The two sentences make condition and consequence explicit. A dense nominal chain corresponding to “deadline nonpayment reservation release” would be shorter on the page but slower to process.
Closings and signatures
Kun estimo is a reliable (formal) closing. Kore and Amike are (informal or friendly professional); use them when the relationship supports warmth. Samideane is conventional in parts of the Esperanto movement and signals shared movement identity, so it is not a universal business closing.

Antaŭdankon can pressure the recipient if the request is optional. For a substantial favor, Dankon pro via konsidero recognizes attention without presuming consent.
A signature should supply the role and contact information the recipient needs. Inflated honorifics do not compensate for a missing organization or case number.
Vi or vi?
Lowercase vi is fully regular for singular and plural addressees. Capital Vi has been used as a personal sign of respect in letters, influenced by national traditions, but it is not required by Esperanto grammar and is not consistently international. Follow an organization's house style or the recipient's established practice; otherwise lowercase vi is a safe default.
This distinction illustrates the boundary between norm and convention. The foundational pronoun is vi. Capitalization may carry courtesy for some readers and unnecessary distance for others. Consistency inside one message matters more than claiming one choice is universally polite.
A compact model email
Estimata aliĝoservo, mi skribas pri mia aliĝo numero 731. Mi pagis la kotizon la 4-an de Junio, sed la reta sistemo ankoraŭ montras ĝin nepagita. Mi alkroĉas la bankan konfirmon. Bonvolu kontroli la pagon kaj informi min pri la rezulto. Kun estimo, Ravi Menon

The model is formal without archaic ceremony. Every sentence advances the case: identification, discrepancy, evidence, request, closing.
Disagree and escalate without blurring the facts
A formal complaint becomes stronger when it separates chronology, evidence, requested remedy, and consequence. Insults and inflated adjectives do not make a case more official. State what was promised, what occurred, and what response you now require.
Laŭ via mesaĝo de la 3-a de Junio, la repago devis alveni ene de dek labortagoj. Ĝis hodiaŭ mi ne ricevis ĝin; tial mi petas konfirmon pri la dato de la pago.
According to your message of June 3, the refund was due to arrive within ten working days. As of today I have not received it; therefore I request confirmation of the payment date.
This wording is firm because the inference is visible. Tial links the missed commitment to the requested action. A label such as terura malrespekto would add heat but no verifiable information.
When escalating, name the next procedural step rather than making a vague threat:
Se mi ne ricevos respondon ĝis la 20-a de Junio, mi transdonos la aferon al la plenda komisiono.
If I do not receive a response by June 20, I will refer the matter to the complaints committee.
The -os forms express real future conditions and consequences; -us would make the sequence hypothetical. Formal tone does not itself require the conditional.
Follow-up messages and quoted threads
A follow-up should briefly restore context even when the earlier message remains below it. Recipients may read on another device or forward the request without the complete thread. Phrases such as Rilate al mia mesaĝo de … and Por eviti miskomprenon, mi konfirmas, ke … identify the link without repeating the entire history.
Rilate al mia mesaĝo de la 8-a de Julio, mi konfirmas, ke la proponita horo taŭgas por nia teamo.
Regarding my message of July 8, I confirm that the proposed time suits our team.
If the subject line, attachment, or quoted text supplies a reference number, repeat it where ambiguity would otherwise arise. Concision in correspondence means removing material that performs no job, not requiring the reader to reconstruct essential facts.
Common Mistakes
1. Importing an English prepositional frame.
❌ Estimata respondeculo, mi skribas al vi koncerne de la fakturo.
Incorrect English-based frame: koncerne is not followed by de here.
✅ Estimata respondeculo, mi skribas al vi pri la fakturo.
Dear person in charge, I am writing to you about the invoice.
2. Stacking politeness until the request disappears.
❌ Mi dezirus peti, ĉu vi bonvolus povi eventuale respondi.
Ill-formed and opaque: several competing request frames are stacked.
✅ Ĉu vi povus respondi ĝis vendredo?
Could you respond by Friday?
3. Omitting the subject in a formal request clause.
❌ Mi petas, ke sendu la fakturon.
Incorrect: the subordinate clause needs its own subject here.
✅ Mi petas, ke vi sendu la fakturon.
I ask that you send the invoice.
4. Treating capital Vi as mandatory grammar.
❌ En formala letero la pronomo vi estas ĉiam gramatike malĝusta.
Incorrect: lowercase vi is the regular pronoun in every register.
✅ En formala letero oni povas uzi vi; majuskla Vi estas nedeviga konvencio.
In a formal letter one may use vi; capitalized Vi is an optional convention.
