Apology, Responsibility, and Repair

An effective Thai apology is often a sequence, not merely ขอโทษ. The speaker can name the offense, accept responsibility, give a relevant explanation, and offer repair. Which pieces are needed depends on the harm, the relationship, and whether the exchange is personal, professional, or institutional.

English sorry covers apology, sympathy, and sometimes a polite interruption. Thai distinguishes these functions through lexical choice and turn position. ขอโทษ is the ordinary apology and attention formula; เสียใจ expresses sorrow or sympathy; ขออภัย is common in formal public or institutional apologies.

ขอโทษที่ส่งไฟล์ผิดนะครับ ผมจะส่งฉบับแก้ไขให้ทันที

kho thot thi song fai phit na khrap phom cha song chabap kaekhai hai thanthi

I'm sorry I sent the wrong file. I'll send the corrected version immediately. (ordinary polite apology and repair, male speaker)

ขอโทษค่ะ เมื่อกี้ฉันจำชื่อคุณผิดเอง

kho thot kha muea ki chan cham chue khun phit eng

I'm sorry; I got your name wrong just now. That was my mistake. (ordinary polite acceptance of responsibility, female speaker)

ที่ + clause names the apologizable event. The verb does not become a gerund: ที่ตอบช้า is literally structured as “that [I] replied late,” not “for replying late” with an inflected form. The basic formula is introduced on Apologies and Getting Attention; this page focuses on what the rest of the turn does socially.

💡
For a concrete mistake, pair the apology with a concrete repair. เดี๋ยวส่งให้ใหม่ can restore confidence more effectively than adding three intensifiers to ขอโทษ.

One offense in three relationships

The proposition is identical: the speaker replied late. Relationship and stance change its performance.

โทษที ตอบช้า เมื่อวานยุ่งทั้งวัน

thot thi top cha muea wan yung thang wan

Sorry for the late reply; I was busy all day yesterday. (informal apology to a close friend)

ขอโทษนะคะที่ตอบช้า พอดีเมื่อเช้าติดประชุมค่ะ

kho thot na kha thi top cha phodi muea chao tit prachum kha

I'm sorry for replying late; I was in meetings this morning. (warm polite apology to a colleague, female speaker)

ต้องขออภัยที่ตอบกลับล่าช้าค่ะ ทางเราจะเร่งดำเนินการให้ภายในวันนี้

tong kho aphai thi top klap lacha kha thang rao cha reng damnoenkan hai phainai wan ni

We apologize for the delayed reply. We will expedite the matter today. (formal customer-service apology, female representative)

โทษที is (informal) and suits close equals. ต้องขออภัย and organizational ทางเรา are (formal/service). Using them for a three-minute delay to a close friend can sound theatrical or distant. Conversely, a bare โทษที to a customer after a consequential error underperforms the social work expected.

The explanation should illuminate, not erase responsibility. รถติด may be relevant; following it immediately with แต่ผมควรแจ้งให้ทราบก่อน explicitly acknowledges what the speaker could have done.

ขอโทษที่มาช้าครับ รถติดมาก แต่ผมควรโทรมาแจ้งก่อน

kho thot thi ma cha khrap rot tit mak tae phom khuan tho ma chaeng kon

I'm sorry I'm late. Traffic was terrible, but I should have called ahead. (careful personal apology, male speaker)

Apology, sympathy, and attention

เสียใจด้วย responds to someone's misfortune (ordinary sympathetic). It is not the default formula for spilling a drink or interrupting. ขอโทษนะคะ... at the start of a stranger interaction can recruit attention rather than confess wrongdoing.

เสียใจด้วยนะคะที่ได้ยินเรื่องคุณพ่อ

sia chai duai na kha thi dai yin rueang khun pho

I'm sorry to hear about your father. (sympathetic polite response, female speaker)

ขอโทษนะครับ เคาน์เตอร์รับเอกสารอยู่ชั้นไหนครับ

kho thot na khrap khaotoe rap ekkasan yu chan nai khrap

Excuse me, which floor is the document counter on? (ordinary polite attention opener, male speaker)

Turn position tells the listener which action is likely. An apology looks backward to an offense; an attention opener projects a question or request. The same expression can do both, so word-for-word translation alone is unreliable.

ขอโทษนะครับ/นะคะwarmer appeal for understandingwarm polite
ขอโทษด้วยนะครับ/นะคะacknowledges that the listener was affectedcareful warm polite

ขออภัยเป็นอย่างสูงstrong institutional formulaformal

นะ is not a decoration that simply makes any sentence polite. It asks the listener to engage with the speaker's stance; in an apology it can sound conciliatory. A rushed ขอโทษนะ with a bright or dismissive contour may sound less sincere than unadorned ขอโทษครับ delivered steadily.

Intonation is therefore part of the act. A lowered, unhurried contour and audible completion of ครับ/ค่ะ often support seriousness. Lengthening นะ... can sound pleading or coaxing. Loud, clipped stress can turn an ostensible apology into irritation. No contour automatically proves sincerity; responsibility and repair remain available evidence.

💡
Keep female forms distinct in writing: apology statements end in ค่ะ, while an attention call such as ขอโทษนะคะ uses คะ. RTGS writes both as kha, so the Thai script carries the contrast.

Responsibility, omission, and silence

Thai normally omits stable participants. ขอโทษที่ทำให้รอนะคะ already identifies the apologizer as causer and the addressee as affected; ฉัน and คุณ need not be repeated. An overt ผมเอง is useful when responsibility is contrastive: “I myself made the mistake.”

เรื่องนี้ผมตรวจพลาดเองครับ เดี๋ยวจะแก้ยอดให้ถูกต้อง

rueang ni phom truat phlat eng khrap diao cha kae yot hai thuk tong

I myself checked this incorrectly. I'll correct the amount. (explicit workplace responsibility and repair, male speaker)

Silence can accompany accountability: the offender may stop explaining and allow the affected person to respond. A bow, wai, or immediate corrective action can reinforce the words. Yet silence alone is ambiguous; after serious harm it can be read as shame, avoidance, or failure to acknowledge. Learners should not treat nonverbal deference as a universal substitute for an explicit apology.

Ordinary-polite dialogue

A café employee brings the wrong order.

ขอโทษค่ะ รายการนี้ไม่ใช่ที่สั่งใช่ไหมคะ

kho thot kha raikan ni mai chai thi sang chai mai kha

I'm sorry—this isn't what you ordered, is it? (ordinary polite acknowledgment and confirmation, female employee)

ใช่ครับ ผมสั่งกาแฟเย็นไม่ใส่น้ำตาล

chai khrap phom sang kafae yen mai sai namtan

That's right. I ordered an iced coffee without sugar. (ordinary polite reply, male customer)

ต้องขอโทษด้วยนะคะ เดี๋ยวทำแก้วใหม่ให้ทันทีค่ะ

tong kho thot duai na kha diao tham kaeo mai hai thanthi kha

I'm very sorry. I'll make you a new drink immediately. (careful service apology and repair, female employee)

ไม่เป็นไรครับ ขอบคุณที่รีบแก้ให้

mai pen rai khrap khop khun thi rip kae hai

No problem. Thank you for fixing it quickly. (ordinary polite acceptance, male customer)

The employee first checks the problem rather than pretending to know it, then gives a repair. The customer releases the offense with ไม่เป็นไร. That response is plausible for a minor corrected error; a serious loss would not require the affected person to say it.

Common Mistakes

1. Using emotional sorrow for every practical apology

❌ เสียใจค่ะ ฉันส่งอาหารผิดโต๊ะ

Wrong routine formula for a service mistake—เสียใจ chiefly presents sorrow or sympathy here.

✅ ขอโทษค่ะ นำอาหารมาผิดโต๊ะ เดี๋ยวจะนำรายการที่สั่งมาให้ทันที

kho thot kha nam ahan ma phit to diao cha nam raikan thi sang ma hai thanthi

I'm sorry; I brought the food to the wrong table. I'll bring what you ordered immediately. (polite service apology and repair, female employee)

2. Copying English “sorry for” with เพื่อ

❌ ขอโทษเพื่อการตอบช้าครับ

Incorrect apology frame—เพื่อ marks purpose, not the event being apologized for.

✅ ขอโทษที่ตอบข้อความช้าครับ

kho thot thi top khokhwam cha khrap

I'm sorry for replying to the message late. (ordinary polite apology, male speaker)

3. Treating formal ขออภัย as neutral close-friend speech

❌ ขออภัยในความล่าช้าที่มาถึงบ้านเธอสองนาที

Unnaturally institutional for arriving two minutes late at a close friend's home.

✅ โทษที มาช้าไปนิดเดียว

thot thi ma cha pai nit diao

Sorry, I'm just a little late. (informal apology to a close friend)

4. Repeating participants as English requires

❌ ผมขอโทษคุณครับที่ผมทำให้คุณรอผม

Needlessly repetitive in a face-to-face apology; the roles are already recoverable.

✅ ขอโทษที่ทำให้รอนะครับ คราวหน้าจะเผื่อเวลาให้มากกว่านี้

kho thot thi tham hai ro na khrap khrao na cha phuea wela hai mak kwa ni

I'm sorry I kept you waiting. Next time I'll allow more time. (warm polite apology and commitment, male speaker)

Key Takeaways

  • Choose ขอโทษ for an offense or interruption, เสียใจด้วย for sympathy, and ขออภัย for formal institutional use.
  • Build serious apologies from an acknowledgment, responsibility, a relevant account, and repair; do not let the explanation erase accountability.
  • Particle choice, intonation, and turn position shape how the apology is heard.
  • Omit obvious participants naturally, but state the responsible person when contrast or accountability requires it.
